Headcount

When it comes to transportation, it’s better to have too much than too little. The last thing you want to do is leave attendees stranded. Even if you have an accurate headcount, plan for the potential that a few extra guests will show up last minute.

 

Company capacity

Do your homework and talk to a few transportation companies. If you have a massive guest list, consider the possibility that a company’s fleet may be too small to handle it. Companies with large fleets are often more flexible and can easily deal with mechanical issues or a last-minute jump in attendance.

 

Identify individual needs

Many large vehicles require passengers to ascend stairs to climb aboard. Is there anyone on the guest list who is unable to do this? If not, you’ll need ADA-compliant vehicles.

 

Set a schedule  

A schedule can be as simple as designating pick-up and drop-off times. However, if the event is taking place at multiple locations, things might be a bit more complicated.
